To Access C9 Connect Reminders Setup Within the Software:

Practice Level:

This should be setup first before venturing into Location, Specialty, or Appointment Based

Select the Tools icon for access to Defaults and Defaults setup
-

Defaults options:

Reminders timeframe - The hours you would like reminders to send within

Specialties Dropdown - Selecting a Specialty Exception

Appointment Types Dropdown - Selecting an Appointment Exception

Creating Reminder Rules:
-
We offer 5 Appointment Related Reminders options
-
All Reminders follow the same format:
-
Message Type
-
Document
-
When to Send
-
Is Confirmable/Ignore if Confirmed are ONLY available on Pre-Appointment Reminders

Note: We have combined the Setup Windows for Email and Text. The Message Type you are working with will appear grayed out when selected.

Create A New Rule:
-
Select the Blue Circle above the Appointment Reminder you wish to work with
-
Fill out all fields in the Creation Window
-
Save and Close when done.
-

View Existing Rules:
-
To quickly View your existing rules for each Appointment Reminder, hover your mouse over the appropriate Text or Email icon

Edit/Delete An Existing Rule:
-
Selecting the appropriate Text or Email icon on the Appointment Timeline will allow you to Edit/Delete and existing rule
-
Save and Close when done.

Create Location Based Rules:
-
Select the Add Schedule button to open the Schedule Configuration Window
-
Schedules will be listed in dropdown menu
-
To access an existing Location click on the location name to expand
-
The Location Based Setup will appear similar to the Practice Level Setup
-

Delete Location Based, Specialty, or Appointment Type Override List:
-
To Delete an entire Location, Specialty, or Appointment Type Override list select the red X button.

Located under View – Reminders Dashboard

Filters:

Schedule Views

Can Select All or Select Specific Locations

Status (Appointment Reminder)

Available options: All, Confirmed, No Response, Reminder with Error

Appointment Types

Can Select All or Specific Appointment Types

Appointment From/To Date Ranges

Select your search data range. Today’s date appears as default.

Search By

Additional Optional Filter
-
Available options: Patient ID, Patient Name, Contact Information

Note: Name format must follow standard Last Name, First Name format.

Reviewing Appointment Messages:
-
Quickly review the status of an Appointment Reminder from the Status column
-
Hover your mouse over the icon to display tooltip with more details
-
-
Status options include: Confirmed, No Response, Errors
-
Select the Plus Sign to expand the Appointment Reminder you’d like to review
-
Message contains the following information: Contact Information used, Status, Time, Message
-
Reminders with an error will display with an Exclamation Mark next to them
-
The reminder that failed will have a red icon next to it. Hovering over it with your mouse will display a tooltip explanation of the error.

Additional Features:
-
Patient Name Menu availability continues in Reminders Dashboard. You may select the patient’s name to jump to any other area in the software related to that specific patient
-
Appointment dates displayed in Reminders Dashboard are links. You may click on the Appointment Date listed to quickly load the Schedule View and display the selected appointment.

Two Way Messaging Access

To Access C9 Connect Two Way Messaging Within the Software:

Located under View – Two Way Messaging
-
Filters:
-
Service Dropdown
-
Select Service for use if Practice has multi-phone messaging
-
-
Search
-
Allows for lookup by Name or Phone Number
-
-
Toggle for New Message Notifications
-
Allows for viewing/hiding of new message notifications
-
-
Filter
-
Allows for display of All Conversations or Unread Conversations
-
-
-
-
Accessing Conversations:
-
Conversations will appear on the left hand side of your screen
-
When viewing All Conversations, messages with replies will appear with a number indicating the number of messages
-
Select from list to work with a specific Conversation
-
Conversation will appear on your main screen
-
To reply, type in provided chat box and select Send
-
Conversation Hamburger Menu: Introduces an additional column containing Future Appointment Information
-
Mark Message As Unread:
-
Each reply from a patient has an additional Hamburger Menu where the respond can be marked as Unread

Quick Access:

Two Way Messaging is also available via the quick access icon located next to your Chat button
