Summary
You can link Automatic Patient Status Changes to Appointment types. This can help make patient tracking easier and more efficient.
How To Link Patient Statuses to Appointment Types (automatic):
Step 1. Follow this path: Edit > Setup > Appointment Types. From there, select the Appointment Type that you want to add an automatic patient status change to- For example, appointment type Deband 60.
Step 2. From there, select the Blue "Add+" button under Patient Status Changes:
Step 3. Once you click the Blue "Add+" button, you will see a screen pop up that says Add Patient Status Changes. A dropdown menu will appear with choices for both Appointment Status and Patient Status.
The Appointment Status dropdown defines which appointment status will cause the change in Patient Status - such as when an appointment is scheduled, or dismissed.
The Patient Status defines what the patient's status will change to when triggered, such as a status of Observation, Retention, etc.
This process allows the Appointment Status to trigger the automatic change in the Patient Status, and is done by making selections in the drop down menus in the Add Patient Status Changes pop up screen.
Below is a screen recording of the process:
Step 4. Note: If your Deband appointment Type will always result in a patient status of Retention, then you will want to select Is Automatic, and click the Blue "Okay" button, then save.
Step 5. Now that the Automatic Change in Patient Status has been added to the Appointment Type, the recording below shows how that works. An appointment status of Dismissed was selected and added to the Appointment Type Deband 60. Now, when a patient's Deband 60 appointment status is Dismissed, their Patient Status will automatically change to Retention.
That is one example of how to set and link automatic patient status changes to appointment types.
What if I want the option to have Multiple Patient Statuses linked to an appointment type, so that I can choose the status that best fits each patient?
Step 1. Follow the same pathway for adding an Automatic status change to an Appointment Type.
Step 2. Select the appointment status and patient status.
Step 3. Do not select Is Automatic.
Step 4. Save.
Step 5. Repeat as many times as needed for each different patient status you want to have the option to select.
**This setup gives you the flexibility to choose from multiple patient status options instead of having one applied automatically.
Here is an example of that from start to finish:
Automated To-Do's and Automatic Patient Status Changes
If a patient has an automated To-Do and there is an automatic patient status change attached to an appointment status, The To-Do must be finished before the Patient Status Change is initiated. The To-Do should be set to trigger at ready for checkout appointment status, and employee starts To-do at that point. Following this, the patient status change can be set to Dismissed appointment status. This way the To-Do will be completed before the patient status change. If a patient status is changed before an automated To-Do is completed, it will clear it out, so this workflow is vital for offices utilizing automatic patient status changes and Automated To-Do's.
