Summary
This article walks through the ongoing updates to employee permissions in Cloud 9. It reviews the new granular permissions added with each release, explains how existing employees are affected, and outlines what administrators need to review and update.
Overview
Cloud 9 is gradually updating how employee permissions work by adding more granular controls. This gives practices greater control over which employees can access specific areas of the software. It also allows users to do things like add new insurance entities during patient workflows without needing full edit access, which reduces the risk of unintended changes to centralized data while keeping workflows efficient.
This article reviews the changes from each release and explains how users will be affected as more granular permissions roll out over time.
March 2026 Release: Edit Setup Permissions
Previously, many items under Edit > Setup were controlled by a single permission called Edit Library Items. This update introduces three new granular permissions, giving practices more specific control over which employees can access certain areas of the Setup menu.
Note: Existing employees and employee types that had Edit Library Items enabled will automatically have all three new permissions enabled. For new employees or employee types, these permissions will be unselected by default and should only be enabled if needed. Administrators should review current employee and employee type settings and remove any of these permissions for staff who should not have access.
The three new permissions are:
- Edit Codes: Allows users to view and edit Edit > Setup > Codes in Cloud 9.
- Edit Treatment Card Layout: Allows users to view and edit Edit > Setup > Treatment Cards, enabling them to change the treatment card layout. Restricting this permission ensures only authorized employees can access or modify this section.
-
Edit Transaction Types: Allows users to view and edit Edit > Setup > Transaction Types, enabling them to add new transaction types or modify existing ones.
These updates help practices grant role-appropriate access while keeping sensitive areas limited to the staff who actually need them. We recommend administrators review employee and employee type permission settings to confirm the new permissions are configured correctly for each role.
April 2026 Release: Add-Only Permissions for Insurance and Fee Schedules
This release introduces four new permissions that give users the ability to add insurance entities during patient workflows without needing full edit access to centralized insurance data. The new permissions are Add Employers, Add Billing Centers, Add Insurance Companies, and Edit Fee Schedules.
Default logic for existing employees and employee types:
- Add Employers, Add Billing Centers, Add Insurance Companies: Default to disabled.
-
Edit Fee Schedules: Defaults to enabled.
Action Required: The new Add permissions default to disabled. Any users who need these capabilities must have them explicitly enabled by an administrator. Review and adjust permission settings for each role at your practice as needed.
For a full breakdown of how these permissions work, including how they interact with the Edit Insurance permission and how the patient workflow is affected, see the Cloud 9: Add-Only Permissions for Insurance and Fee Schedules article here.
