Summary
This article covers the Add-Only permissions for insurance and fee schedules in Cloud 9. It explains how the Add Employers, Add Billing Centers, Add Insurance Companies, and Edit Fee Schedules permissions work and how they differ from the Edit Insurance permission.
Overview
Cloud 9 now provides more granular control over user permissions for insurance-related and fee schedule functions. The new Add-Only permissions allow administrators to give users the ability to add new insurance entities during patient workflows without granting full edit access to centralized insurance data. This reduces the risk of unintended changes while keeping workflows efficient.
The four permissions covered in this article are: Add Employers, Add Billing Centers, Add Insurance Companies, and Edit Fee Schedules.
Edit Insurance Permission and How It Relates
Previously, only users with the Edit Insurance permission could navigate to Edit > Setup > Insurance Billing Center or Edit > Setup > Insurance Companies to add or edit insurance companies or billing centers.
When the Edit Insurance permission is removed from a user, they will see an insufficient permissions notification if they attempt to access those areas directly.
However, if they have the Add-Only permissions described in this article, the user can still add new entities from the patient page without being able to edit centralized insurance data. This keeps your centralized data protected while still allowing staff to do what they need during patient workflows.
Add-Only Permissions
The three Add-Only permissions work the same way but apply to different insurance entities.
- Add Employers: Users with this permission can add new employers during the Edit Patient workflow. Without this permission or the Edit Insurance permission, the Add button for employers will not be visible.
- Add Billing Centers: Users with this permission can add new billing centers during the Edit Patient workflow. Without this permission or the Edit Insurance permission, the Add button for billing centers will not be visible.
- Add Insurance Companies: Users with this permission can add new insurance companies during the Edit Patient workflow. Without this permission or the Edit Insurance permission, the Add button for insurance companies will not be visible.
How It Works in the Patient Workflow
When a user navigates to Edit Patient > Insurance tab and clicks the option for Employer Plans or Insurance, they will see a magnifying glass to search for existing Employer Plans or Insurance Billing Centers. Once they click the magnifying glass, a blue + Add button will also appear, allowing them to add a new Employer Plan or Insurance Billing Center if one does not already exist in the system.
With Add-Only permissions, users can add new entries but cannot access or edit existing centralized data in Edit > Setup.
Edit Fee Schedules Permission
The Edit Fee Schedules permission allows practices to separate fee schedule access from the broader Edit Insurance permission.
- If Edit Fee Schedules is enabled, the user can edit fee schedules in Cloud 9.
- If Edit Fee Schedules is disabled, the user can still select a fee schedule from the Edit Patient > Insurance tab but will receive an insufficient permissions message if they attempt to navigate to Edit > Setup > Fee Schedules.
Default Settings
Below we cover the Cloud 9 Defaults with the newer permissions for employee profiles.
- Add Employers, Add Billing Centers, Add Insurance Companies: Default to disabled for existing employees and employee types.
-
Edit Fee Schedules: Defaults to enabled for existing employees and employee types.
Action Required: The Add-Only permissions default to disabled. Any users who need these capabilities must have them explicitly enabled by an administrator. Review and adjust permission settings for each role at your practice as needed.
