Summary
Employee Location Filtering in Cloud 9 allows multi-location practices to associate employees with specific locations, filtering who appears in dropdowns throughout the software. This article explains how to turn the feature on, set it up, and where it makes a difference in your daily workflow.
Overview
Cloud 9 allows you to associate employees with specific locations, which filters employee dropdowns throughout the software based on those associations. This is particularly useful for multi-location practices that want to make sure employees only appear in location-appropriate contexts, reducing confusion and potential scheduling errors.
Note: To enable and configure this feature you will need an employee with the following permissions: Edit Practice Information, Edit Library Items, and Edit Employees.
How to Enable Employee Location Filtering
Step 1: Navigate to Edit > Practice Information > Options tab.
Scroll to the bottom of the right hand side of the page and check the Enable Associating Locations to Employees button. Click Save to turn the feature on.
How to Associate Employees with a Location
Step 2: Navigate to Edit > Setup > Employees and select the employee you want to associate with a location. Click Edit.
Step 3: On the left side of the employee window, locate the Locations dropdown. Select the locations you want to associate with this employee. You can add a single location, multiple locations, or all locations.
Step 4: Click Save.
Once saved, location-specific menus throughout Cloud 9 will only display employees associated with the current location.
Example
When seating a patient, you can select the Provider or Assistant seeing the patient during the appointment. With Employee Location Filtering enabled, the dropdown will only display providers and assistants associated with the current location.
For example, if an employee is associated with the Roswell location, they will appear in the dropdown when Roswell is the selected location, as shown in the screenshot below.
If you switch to the Canton location and that employee is not associated with Canton, they will not appear in the dropdown options for that location.
Where Does Location Filtering Apply?
Employee Location Filtering affects the following areas in Cloud 9:
- When scheduling a patient and assigning a provider or assistant.
- When seating a patient or moving a patient from Waiting or On Deck to Seated.
