Summary
Cloud 9 Software now offers the ability to associate employees with specific locations, which will filter employee dropdowns throughout the application based on these associations. This feature helps multi-location practices ensure that employees only appear in location-appropriate contexts, reducing confusion and potential scheduling errors.
Cloud 9 customers with multiple locations who want to filter employee lists by location can find instructions below on how to turn on and use this feature to help improve clarity in the office.
Note: You will need an employee who has the Edit Practice Information, Edit Library Items, and Edit Employees permissions enabled to implement this feature.
How It Works
Setup: Start by going to Edit > Practice Information > Options tab. A new "Enable Associating Locations to Employees" button will be located at the bottom of the right hand side of the page - checking this button and saving the change turns on this function.
How to Associate Employees with a Particular Location:
Go to Edit > Setup > Employees, and choose the employee you wish to associate with a particular location. Edit that employee. On the left hand side of the employee window, you will see a new drop down, labeled Locations. In this dropdown menu, select the locations you wish to add to the employee profile. You can add a single location, multiple locations, or all locations.
Save the employee profile once you have made your selections. Now, when you go to view location specific menus, only employees that are associated with that location will be visible.
Examples:
When you go to seat a patient, you can select the Provider or the Assistant/Employee who is seeing the patient during the appointment. With Employee Location Filtering turned on and Employees selected, the list will only display providers or assistants that are associated with the current location. For example, this employee is associated with the Roswell location and so appears on the list.
If we change the location to Canton, a location that employee is not associated with, and try to seat a patient, Rhys will not appear in the drop down options.
