Summary
Occasionally your practice will want to see a list of all patients within a certain status(es). This can be achieved with the Patients by Patient Status Report. This report looks at a list of all patients in the selected status filtered by the date range they entered that status. Picking the status and date range is the important part of the report, but let's review the report in its entirety.
Running the Report
Step 1. Navigate to Reports > Reports within Cloud 9. Search Patients by Patient Status or click the +Patient tab and then choose the Patients by Patient Status Report.
Step 2. The first parameter to enter on the report are the desired statuses, (or status if only one.) You can click select all, you can just click one to select one, or you can click several to select multiple statuses.
Step 3. The next parameter is the date range. This date range means that it will look for all patients that were entered into this status and the status start date falls within the selected date range. I will pick all of 2025 for this example.
Step 4. Next, we must select the locations. I will choose all locations.
Step 5. (Optional) This step is optional. It allows you to select treatment coordinator to further filter the Patients by Patient Status. I am going to skip this field, since this time running the report I do not need it to filter by treatment coordinator.
Step 6. I can also choose to break it up by patient status. This field is also optional but can be helpful to break the patients up by the different statuses if you select more than one status. I have selected for it to break by patient status.
Step 7. Once I have filled out all the parameters, I will click 'Preview' and wait for the report results to load.
Reading the Report
Once the report loads, the top of the page will have some key information. It will mention the date range, in my example it says Date Range: 01/01/2025-12/31/2025. It also says, 'Patient Statuses on this Report' and then lists all of the statuses I chose. In my example the statuses are:
'Active Comprehensive, ACTIVE STATUSES, Consult, Deleted, Diagnostic Rec, Full Band,Full/Transfer, Inactive, Initial Exam, Lim/Tx Transfer, Limited Tx, Maintenance, New, Observation, Orthognathic, Pending, Pending/Sch, Phase 1, Phase II, Phase II Pend, Post Tx , Ref-Consult, Retention, Single Ar Tx, Suspense, Test deband date, testing 123, TMJ no Braces, Trns Out, Tx Refused, ZZnouse.'
This is helpful because it shows all the statuses I selected and I can make sure my data is accurate. Next, since I selected break by patient status it will show a list of each patient in each different status. It will show their Status, their Name, Status Start Date, and Contact Information on file for the patient as well as an address if that is entered.
Below are screenshots of what the report looks like.
At the very bottom or on the last page there will be a Totals. This will list all the statuses that have patients on the report and a tally of the number of patients in that status as of those dates. In this one, since I used a test site, there are only 6 patients in 3 statuses, but it still tallies them.
If there is no contact information for the patient entered, that field will appear blank. Same for the address field.
