In this article, you will learn how to utilize this report. The scenario under which this article was written is this:
Your practice is set up (Edit > Setup >Appointment Types) so that when a New Patient is added into the system, they are immediately scheduled for an Exam. That places them in a New Patient -Exam Scheduled Patient Status. When the exam appointment date has been reached, there will be two options. When the patient is dismissed from the exam, their Patient Status will automatically change to Pending- Start Scheduled. But if they no-show their appointment, their patient status is set to change to a “Missed Exam” status.
Under this scenario, we will use the Patient Status Changes by Date Range report to track who no-showed their exam.
Accessing the Report
The Patient Status Changes by Date Range Report is accessed in the header bar by going to Reports, and using the dropdown menu, selecting Reports again.
Once in the Reports section, either manually search for the name of the report, or use the Search box, center screen, to begin entering the name of the report.
Setting up the Filters
When in the specific report, the filters are displayed down the right side of the page. Let's cover those, starting from the top.
Date Range
Using the Date Picker, identify the start and end date that you would like to review.
From Patient Status(es)
Select one, some or all statuses in which the patient started. Remembering our scenario for this article, that would be New Patient - Exam Scheduled. Depending on the number of Patient Statuses contained within your url, you may need to use the identified slider bar to scroll down to see them all.
At the bottom there are also options to select all and clear selection (in case you need to start over).
To Patient Status(es)
With the scenario applied above, you will need to select the Missed Exam status in this filter. For other applications outside of the supplied scenario, this filter will allow for the selection of one, some, or all statuses.
It also includes the same select all and clear selection buttons like the previous filter.
Location(s)
If your practice has more than one location, they will all appear in this list. You can select one, some or all in this filter. It also includes the same select all and clear selection buttons like the previous filter.
Provider(s)
All providers listed in your url will be shown in this filter. You can select one, some, or all. It also includes the same select all and clear selection buttons like the previous filter.
Break By
The remaining filter provides you the option to break the report into sections based upon the patient's location or their Provider. Beneath this filter is the Preview button. It will remain shaded, and therefore unable to be selected, until all filters have been completed. Only then will it become unshaded, and able to be selected.
Report Results
After selecting that Preview button, your results should be displayed in the format shown below. I have identified the main parameters selected in the outlined box, meaning the From and To Patient Statuses.
The patient name, Location, and Provider(s) that were selected in the filters, along with the date range of the report are all showing as expected.
