Summary
This article covers how to set up and manage schedule views in Cloud 9. It walks through adding, configuring, deleting, and restoring schedule views, including field definitions for both the schedule view and column and chair settings.
Overview
Schedule views are user-defined views of the appointment schedule. Each schedule view is assigned to a location, and a location can have multiple schedule views. Schedule views are broken down into columns or chairs and rows. Each row is assigned a minute value which determines the length of appointments.
Adding a Schedule View
To add a new schedule view navigate to Edit > Setup > Schedule Views from the library items, then click Add.
The following fields will need to be completed:
- Description - The schedule name that appears in Cloud 9.
- Minutes Per Row - Determines the length of appointments it is typical to use 5, 10, or 15 minutes. Be aware that making changes to the minutes per row in the future can cause appointment overlaps and/or appointment gaps.
- Lightbar columns - The number of lightbar columns to the right of the schedule view to show open and occupied chairs.
- Location - The associated location for the schedule view. Employees with restricted access cannot see schedule views for locations they are not allowed access too.
- Start Time - This is the start time of the viewable schedule. It is common to have the start time be earlier than the first appointment time.
- End Time - This is the last time on the viewable schedule. It is common to have the end time be later than the end of the last appointment time.
- Order - Schedule views appear in tabs alphabetically unless assigned an order # in this field.
-
Hide From Schedule - This can be checked to stop a schedule view from being displayed in the Schedule. It is useful when creating a schedule view before a location goes live.
Adding Columns/Chairs within the Schedule View
- Click the blue+ to add under columns/chairs to add columns/chairsto the schedule view.
Once you have clicked the blue+ fill in the following fields:
- Description - This is the name of the column/chair.
- Order - The display order of the Column/Chair. The order can be changed at any time.
- Width - Defaults to 100, but it can be changed to be more wide or narrow.
-
Lightbar Column - If more than one lightbar column is used this allows you to choose which column this column/chair will be displayed in.
Select OK to save the Column/Chair and repeat the process for each column/chair needed.
When all have been added, click the Save to complete the addition of the schedule view.
Deleting a Schedule View
Schedule views can be deleted by navigating to Edit > Setup >Schedule Views from the library items.
Choose the schedule view to be deleted and click Delete.
You will get a pop-up confirming you want to delete the schedule view. The pop up will say, 'Delete Schedule View. Are you sure you want to delete 1 item(s)?'
When you choose the red Delete this will perform a 'soft' delete, meaning the schedule view no longer appears in the schedule, and it does not appear in the library items unless Show Deleted is checked.
Caution should be used when deleting schedule views because they can be deleted with future appointments scheduled. This will not cancel or delete the appointments.
Restoring a Deleted Schedule View
A previously deleted schedule view can be restored by navigating to Edit > Setup > Schedule Views in the list of library items.
Click the Show Deleted option in the upper right to display deleted schedule views to see the deleted schedule views.
Select the schedule view that you would like to restore, and once highlighted click the Restore button. This will complete the restoration of the deleted scheduled view.
