About the Locator Bar
The Patient Locator bar runs across the top of Cloud 9, and includes a section for each Appointment Status you have selected to show on the Locator Bar in Edit > Setup > Appointment Statuses.
The location selection drop down, next to the building icons on the upper right above the patient locator bar determines which location's Locator Bar displays in Cloud 9, as you can only be logged into one location at a time.
Each appointment status has its own section on the locator bar. If you click on it, it will display the patients in that appointment status currently. If the list of patients becomes too long to display on the screen, a vertical scroll bar displays, shown in the screenshot below.
The color of the Patient's appointment correlates to the color selected for each individual appointment in Edit > Setup > Appointment Types. Each patient's appointment will display the patient name, type of appointment, and time of appointment. Next, in bold letters it will say the amount of hours and minutes the appointment is Early or Late, depending on if the patient is late or early for their scheduled appointment. The RP $ indicates that this Cloud 9 URL has the settings for past due balance alerts set up in their location settings, and that this patient's Responsible Party owes a balance.
On the right hand side of the appointment there is a gear button.
When the gear is clicked, the Patient Shortcut Menu displays with the following options: View Patient, Edit Patient, View Ledger, and Treatment Card.
Selecting a Location
Just above the Patient Locator, on the right side, click the Location Button. The offices location's will display, with the current location showing a check mark.
Click on the desired location and the Patient Locator changes to show the patient statuses for the desired location.
Changing a Patient's Appointment Status
There are two ways of moving a patient through the appointment process to change the
- Manually changing the patient’s appointment status.
- Dragging the patient’s appointment through the various patient locator statuses or Light bar.
Manually Changing an Appointment's Status
On the Patient Locator, click on the status where the appointment is that you want to move. It could be:
- Scheduled
- Waiting
- Seated
The patients with that status display in blocks.
Next, click on the name of the patient of the appointment you want to change the status of. After clicking, the Patient Locator Status dialogue box will open.
- The Patient Locator Status dialogue box displays the Patient Name, The current status of the appointment, and a button to the right that looks like a play button. This button, when clicked, moves the appointment into the next status in the Locator bar.
- The GIF below shows how it moves it into the next status and also brings up the column and assistant fields, when applicable, to seat the patient.
- There is also a button on the lower left for Checkout if you want to check the patient out. You can also pick the status from the drop down. Maybe you forgot to check something and need to put the patient back into on deck or waiting.
- When you have finished making your changes to the appointment status, click Ok.
- Depending on your settings, after seating the patient, the treatment card may open.
Dragging the Patients Appointment
- On the Patient Locator, click the Scheduled cell.
- Select the desired patient appointment.
- Drag the appointment to the Patient Locator desired cell. Cloud 9 updates the status based on where the appointment is dragged. GIF Below shows how to drag the appointment into the locator bar and check out the patient and dismiss them.
If you are a user, or an employee, and you do not see the Locator Bar at the top of your Cloud 9, you will need someone with the permissions 'Edit Library Items' and 'Edit Employees' to go into Edit > Setup > Employees and select your user profile. Then, there is a box below the permissions that says Show Locator bar that must be checked and saved. After logging out and back in, you will then have access to the locator bar. This is similar to the light bar. If it is missing, someone must go into Edit > Setup > Employees to turn that setting on.
There are two places to control the setting if an appointment flashes or not. The mechanism lives in Edit > Setup > Appointment Statuses. In each appointment status there is a column for Flash and a column for Flash on Check In Alert. If you have it marked yes in Flash, the appointment will flash in that status the entire time in the locator bar. This is common for appointments in a waiting status. Otherwise, you can just pick Flash on Check in Alert. If the settings are enabled for Check in Alerts, the appointment will flash based on those settings and if Flash on Check In Alert is selected for each Appointment Status.
