Summary
On the Treatment and Financial Summary Report, (Article can be found HERE), There is a section under the Treatment Table that is labeled: "Patients Seen Beyond Estimated Completion Date." This is a count of the number of patients who had an appointment in the date range entered AND were past their completion date for treatment as of that appointment. You can duplicate this to verify the numbers with a data miner. This article will outline how to create the data miner to verify the number on this section of the Treatment and Financial Summary Report.
Building the Data Miner
Step 1. Navigate to the Data Miner by clicking Report > Data Miner in Cloud 9 and using the Blue
+ to create a new one. For more details on Data Miner basics, read this article.
Step 2. Select your View. For this Data Miner we will choose the "Patients" view.
Step 3. In the "Columns" section pick the one called "Patient ID." You can add more information in the columns if you'd like, but if we are verifying the numbers, this should be the only field needed.
Step 4. Time to choose the Filters. For the Treatment and Financial Summary, I ran the report for a date range of 01/01/2025 to 04/03/2026. That will determine the dates I choose in my filters. The first filter to choose is "Patient Estimated Completion Date." We will put "Less" than (tomorrow's date) 04/04/2026. This is the day after I ran my report, so this will make sure it grabs all data from 04/03/2026, the ending date in my report.
Step 5. Now we will choose the next two filters, a date range. The name of the filter will be the same, but the dates will be different. The name of the filter is "Last Appointment Date Time." For the data miner picking "greater" or "less" when applying a filter to a date range produces better data than "greater or equal to" or "less than or equal to." For this reason for the first date I will pick greater than 12/31/2024, since my beginning date on the Tx and Fin Summary was 01/01/2026. The second filter will still be "Last Appointment Date Time" and this time, I will pick "Less" and for the date 04/04/2026, (which is one day after my end date for the report of 04/03/2026.) Picking the date before and after and using "Greater" or "Less" for the filter dates results in the most accurate data. So my Data Miner, when complete, will look like the screenshot below.
Step 6. Click the green "Save As" and save the data miner. After it is saved, click "Run."
Step 7. Look at the number of results. In this example, it returned 6 patients. The number for that field on the report is also 6 patients.
