Summary
This article covers how to connect and use a document scanner with the C9 Agent in Cloud 9. It walks through opening the C9 Agent, selecting the correct TWAIN device, and scanning documents directly into a patient’s Document Cabinet.
Overview
The C9 Agent is a Windows program that connects printers, x-ray machines, document scanners, and Topaz Signature Pads to Cloud 9. This article covers document scanners, specifically, how to get one connected and how to use it to scan documents directly into a patient’s Document Cabinet.
Note: Before installing the C9 Agent, the TWAIN drivers for your scanner must be installed on the computer you will be using. For driver installation assistance, follow the instructions provided with your scanner or contact your office IT team.
For instructions on installing the C9 Agent, please see: C9 Agent Installation Guide.
Step 1: Open the C9 Agent
Once the TWAIN drivers and the C9 Agent are installed, open the C9 Agent using one of the following methods:
- Double-click the kite icon on your desktop and select Open.
- If the C9 Agent is already running, right-click the kite icon in the lower right corner of your taskbar and select Open.
Once open, the C9 Agent screen will appear and show the connection status. There are three possible states:
- Connecting: The agent is in the process of connecting.
- Connected: The agent is connected and ready to use.
-
Disconnected: Close and reopen the C9 Agent to attempt reconnection.
Step 2: Confirm You Are on the Correct C9 Agent
Just below the connection status you will see the version number of the agent followed by the name assigned to it. Confirm this is the agent you intend to use before proceeding.
Step 3: Select the TWAIN Device
Click the Select TWAIN Device button. A menu will appear where you can select the TWAIN Device, Ceph Device, and Pan Device from a list of TWAIN drivers currently installed on your computer. For a document scanner, select the correct driver from the top dropdown field that is labeled TWAIN Device.
If no drivers are listed, the TWAIN driver for your scanner has not been installed. Refer to your scanner’s installation instructions or contact your IT team for assistance.
Once you have selected the correct TWAIN driver and clicked OK, you will be returned to the main C9 Agent screen.
Step 4: Minimize the C9 Agent
Once you are back at the C9 Agent screen, click the Minimize button in the upper right corner of the window. This keeps the C9 Agent running in the background so you can scan whenever you need to throughout the day.
Important: Do not click the X button to close the C9 Agent. Closing it will make scanning unavailable until you reopen it. It is recommended to minimize the C9 Agent when not in use and reopen it each morning from the desktop icon.
Step 5: Scan a Document into the Patient’s Chart
When you are ready to scan a document into a patient’s chart, navigate to the patient’s Document Cabinet from within their chart.
Once the Document Cabinet is open, click the Acquire button. The interface for your scanner will appear. Each scanner has a different interface so a screenshot has not been provided. Follow the instructions on your specific scanner interface to complete the scan.
Tip: If the scanner interface does not appear, check behind the open Cloud 9 window as it may be hidden behind it.
Once the document has been scanned it will automatically appear as the last item in the document list in the Document Cabinet.
