Within Cloud 9, the State Field must be abbreviated, and it must be the correct abbreviation. There are times when you will go to change the tracking status or update a patient's chart and you will get the below error.
This error occurs because a State somewhere in the patient's chart is either spelled out, (resulting in Cloud 9 pulling the first two letters and the abbreviation being correct), or it is missing or an incorrect abbreviation.
It can be tricky, so you will want to look in all the places a state abbreviation code could be in a patient chart. Here are some steps to follow to check that the state abbreviation code is correct in a patients chart.
1. First, check on the patient level. Navigate to Edit > Patient and look at that screen. Is the State code abbreviated correctly or is it spelled out? In the example below, the state abbreviation for Vermont should be VT but since it is spelled out it is pulling VE, an incorrect state code.
To fix this, we would want to go into Edit > Setup > Postal Codes. Search the postal code of 05465 until we find the one with it spelled out like this:
Click the check box and then click edit. Then go into the State field and change it to VT. Next, exit the patient chart without saving and then go back in. When we go back in, it will be updated to the correct State abbreviation.
2. If the patient level does not have an error, the next place to look would be in the Edit > Patient > Relationships. Look at the relationships and make sure that the Responsible Party has a correct state abbreviation. This would be a similar fix. You would want to go into Edit > Setup > Postal Codes and find the postal code and then change the state to the correct abbreviation. This will also make sure anyone choosing this postal code in the future has the correct state abbreviation, and not the state spelled out
3. If the Patient and Responsible party do not have any problems with state abbreviation code, you should next check Edit > Patient > Professionals tab. Make sure that the professionals and referrals all have the proper state abbreviation and it is not spelled out or blank. If you find that it is incorrect, you would follow the same steps of going into Edit > Setup > Postal Codes to find the postal code with the incorrect state and then edit it and fix it.
This should resolve the Invalid State ID error in Cloud 9. Once it has been resolved you should be able to save the patient chart with no errors.
