Summary
Cloud9 allows you to create automated financial campaigns to follow up with patients who have aging balances. Campaigns send notifications about outstanding balances via email or text. These campaigns save staff time, improve patient engagement, and help ensure timely payments. The Financial Campaigns can be setup and customized for each office's individual needs using the following guide.
Pre-Requisites
Your office must have Cloud 9 Connect to utilize Recurring Campaigns. Financial Campaigns are in the Recurring Campaigns portion of the software. Staff must have the correct permissions for Recurring Campaigns. For more information please see this article.
How to set up a Financial Campaign
Step 1. The main hub for Financial Campaigns is in the Recurring Campaigns section of the software. Navigate to Edit > Automation Suite > Recurring Campaigns.
Step 2. Choose the 'Templates' tab and complete your Template for the Financial Campaigns. Please review this article for more information.
Step 3. Once the template has been created you'll need to navigate to the 'Recipients' tab to set up the Recipient List. Please review this article for more details.
Step 4. Lastly, you'll want to go to the 'Campaign' tab to create a new campaign. Please review this article for more details.
Best Practices:
Best Practices for sending out Aged Balance Campaigns:
We recommend using the merge tags 'Financially Responsible Due now' as well as 'Recipient Greeting' or 'Recipient First Name'.
It is recommended to have your financial campaign messages reflect the due now, a link to the payment portal if applicable, as well as any relevant practice contact information.
Financial Campaign messages go out daily at 9:00 AM local time of the practice.
There is now a feature that whenever a Financial Campaign is sent out, a comment will write on the ledger. For more details, see this article.
